Terms & Conditions

These Terms & Conditions govern all bookings made with Violet Hummingbird Events. By paying your booking fee you agree to all of the terms set out below.

Booking Information
A £40 booking fee (£50 for bookings over £180), along with signed forms, secures your party date. By paying this fee, the hirer agrees to all terms. The hirer is the person signing the booking form for hire of equipment.

A £50 damage deposit in cash is required at setup and returned upon collection after inspection. Any damage to our equipment totalling less than £50 will be deducted before the remainder of the deposit is returned to the hirer. Damage exceeding £50 is invoiced, with payment due within three days; legal action will be pursued for non-payment.

Final balances must be paid at least 14 days before the booking via BACS transfer. Final numbers and choices must be confirmed at least 14 days before the date of the booking. Reductions after this deadline are charged in full with no refunds.

The hirer is responsible for providing all medical and dietary information for attending children. Violet Hummingbird Events will take no responsibility for allergies or illness (including skin, food and similar) during or after the event. The company assumes no liability for child welfare, which remains the hirer’s responsibility. Information must be provided within 14 days of the event.

The company reserves the right to make reasonable changes to its services without notice and will refund any cost reductions accordingly. The hirer is responsible and liable for any damage or injury occurring from or as a result of inappropriate use, misuse or reckless use of any Violet Hummingbird Events equipment. Hirers must ensure constant child supervision and compliance with safety instructions; Violet Hummingbird Events may suspend the event if you are in breach of this clause.

Violet Hummingbird Events accepts no liability or responsibility to the hirer for any damages, costs, losses, claims, expenses, demands and proceedings regarding property damage or consequential losses. The company commits to reasonable service provision, skill, care, and health & safety compliance. Data is processed in line with GDPR and the Data Protection Act 2018. Themes are inspired by popular trends without any intent to infringe copyright.

Supervision
Hirers bear full responsibility for children’s care and safety and must inform parents that the company provides no supervision. The hirer is required to take responsibility for all children that have been left by their parent or guardian.

Contact numbers and medical information from guardians are recommended. Domestic pets are discouraged from accessing equipment due to hygiene concerns, with additional charges possible for pet-related cleaning or damage.

Cancellation by the Hirer
Cancellations more than 14 days before the date receive a full refund minus a non-refundable £20 booking fee. If the hirer needs to cancel 13 to 8 clear days before the party date, the hirer will receive a 50% refund minus the £20 non-refundable booking fee.

Cancellations within seven days qualify for an alternative date (subject to availability), with six-month credit validity. Regarding COVID-19: if you contract Covid leading up to your event date, we ask that you let us know. Postponement is requested; cancellation results in no refund but a six-month credit note.

Cancellation by Violet Hummingbird Events
The company reserves the right to cancel for emergencies, with advance notice where possible. A full refund will be given if a suitable alternative date cannot be mutually agreed in the event of cancellation by Violet Hummingbird Events due to Covid-19. Upon any such cancellation, Violet Hummingbird Events will refund to the hirer any monies paid, but assumes no liability for resulting losses or expenses. The company may terminate without notice for breaches of these conditions.

Liability
Liability for death or personal injury resulting from negligence cannot be limited by law. The company’s aggregate liability cannot exceed the total amount paid by the hirer. This contract is governed by English law and the exclusive jurisdiction of the English courts.

Equipment cannot be sub-let and must remain at the booked location. No information included in the booking form will be disclosed to any third party (see our privacy policy). Hirers must communicate these terms to all guests. The company maintains public liability insurance, and equipment meets CE and UKCA toy safety standards. Strict hygiene protocols are followed, and COVID method statements are available on request.

All persons using Violet Hummingbird Events equipment do so at their own risk, and it is the party hirer who is responsible and liable for any damage or injury occurring from or as a result of inappropriate use, misuse or reckless use. No liability attaches to reactions or injuries sustained during or after parties. This information is given for the safety of all people attending a party hired from Violet Hummingbird Events, and it is the sole responsibility of the hirer to ensure that these terms are understood and adhered to by all party guests invited.
